The IRS Information Document Request (2026): What an Auditor Actually Asks a Freelancer For

TL;DR: A real audit arrives as Letter 2205-A and a named revenue agent, followed by Form 4564 โ the Information Document Request โ a numbered list of records with a response date about 30 days out. It is not the same thing as a CP2000, which is automated matching and no audit at all. Expect the agent to ask for every bank account, including personal ones, because the standard method of testing a Schedule C's revenue is a bank deposits analysis that presumes unexplained deposits are income. The examination is usually decided in the ยง274(d) categories โ travel, meals, gifts, and vehicles โ where the Cohan rule does not apply and a missing log means a lost deduction with no estimate available. Answer item by item, on time, in copies, and reconcile your deposits before the agent does.
Almost everything written about IRS audits for freelancers is about avoiding one. Very little is written about the thing that actually happens: a form arrives with a list on it, and you have about a month.
This is a guide to that form.
First, Work Out What You've Actually Received
Three different pieces of mail get called "an audit," and only one of them is.

Mailing an entire year's receipt archive to answer a question about a single 1099-K figure hands a reviewer material they never asked for.
An examination is the opposite: under-responding is the mistake.
Form 4564: What It Looks Like
The Information Document Request is a plain one-page form. It identifies the taxpayer, the tax period, the agent, a response date, and then a numbered list of requested items.
A first IDR to a Schedule C freelancer typically asks for some version of:
- All bank statements for all accounts โ business and personal โ for the year under examination
- All Forms 1099-NEC, 1099-K, and 1099-MISC received
- Copies of invoices issued to clients, or the sales journal
- The general ledger or bookkeeping file, or a categorised expense listing
- Receipts and invoices supporting the largest expense categories on Schedule C
- The contemporaneous mileage log, plus Schedule C Part IV odometer figures
- For travel and meals: receipts plus documentation of time, place, business purpose, and business relationship
- For a home office: measurements, a floor plan, photographs, and the underlying household bills
- Documentation of any payments to contractors and the corresponding Forms 1099-NEC
- Loan documents, gift documentation, or transfer records explaining non-income deposits
Two things about that list are worth pausing on.
It's specific. The agent has already read your return and picked categories. The items chosen tell you what caught their eye โ a large Line 24a travel figure, a round Line 27a "Other expenses," a Line 9 vehicle number that implies more miles than a person can drive.
Item 1 asks for your personal accounts. That is not an accusation. It's the setup for the technique that runs most Schedule C examinations.
The Bank Deposits Analysis
If an agent wants to test whether you reported all your revenue, they don't audit your invoices โ invoices only show income you chose to record. They audit your deposits.
The method is simple and unforgiving:
- Total every deposit into every account you control for the year.
- Treat that total as presumptive gross receipts.
- Subtract only what you can document as non-income.
- Compare what's left against Schedule C Line 1.
- Any excess is proposed as unreported income.
The burden sits on you at step 3. Every deposit is income until you prove otherwise.
Worked example
A freelance copywriter's accounts show $141,300 of total deposits for the year. Schedule C Line 1 reported $116,000. The agent's opening position is $25,300 of unreported income โ plus tax, plus self-employment tax, plus an accuracy-related penalty.
Here's the reconciliation that resolves it:

Every subtraction needed a document. The savings transfer needed the other account's statement to prove it was the same money moving, not new money arriving. The gift needed the donor. The reimbursement needed both the invoice and the expense it offset.
Without those three documents, this taxpayer owes tax on $25,300 they never earned.
Do this reconciliation before the agent does. Presenting a completed deposits schedule with the first response reframes the whole examination: you're explaining your records rather than rebutting their conclusion. It is the single highest-value hour you can spend on an audit.
This is also the strongest practical argument for a separate business bank account. Every dollar of personal activity in the business account is a dollar you'll be explaining line by line.
Where Schedule C Examinations Are Actually Decided
Revenue is one front. Deductions are the other, and they are not all equally defensible.
The ยง274(d) categories โ where you win or lose
IRC ยง274(d) imposes strict substantiation on four categories:
- Travel
- Meals
- Gifts
- Listed property โ vehicles above all
For these, the Cohan rule does not apply. Cohan lets a court approximate a deduction you clearly incurred but can't fully document; ยง274(d) shuts that door. Each ยง274(d) item needs four elements, recorded at or near the time:

Everything else
For ordinary expenses โ supplies, software, insurance, professional fees, rent โ the standard is far more forgiving. A bank or card statement plus a contemporaneous note of business purpose typically carries the day, and Cohan is available as a backstop where a receipt is genuinely lost.
Which means the practical triage on receiving an IDR is: sort your expenses into ยง274(d) and everything else, and spend your preparation time on the first pile.
The Paper Trail of an Examination
Knowing the sequence removes most of the fear, because each stage has a defined response and none of them is final.

Two rights are worth exercising early rather than late:
- Representation. You may have a CPA, enrolled agent, or attorney deal with the agent instead of you, by filing Form 2848. If you have one, use them from the first IDR, not after the Form 4549 arrives.
- Appeals. The 30-day letter stage is where most disputed examinations are actually resolved, by an office independent of the agent who examined you. Agreeing to a Form 4549 you disagree with, because it feels final, gives that up.
How to Answer an IDR Without Making It Worse
Answer item by item, in the agent's own numbering. A cover index โ "Item 1: 24 pages, bank statements, four accounts. Item 2: 9 pages, Forms 1099-NEC..." โ communicates that your records exist and are organised. That impression is worth real money in how the rest of the examination goes.
Send copies. Never originals. They may not come back. Keep a complete duplicate of everything you send, and a note of the date sent.
Provide what was asked, and not more. Volunteering three additional years of records to be helpful expands the examination's scope for free. If item 5 asks for support for Line 22, send support for Line 22.
Negotiate scope in writing where it's genuinely overbroad. "All personal bank statements for three years" on a one-year examination is a reasonable thing to discuss. Ask; don't unilaterally decline.
Never present a reconstructed log as contemporaneous. Presenting a spreadsheet built last week as a record kept all year is the fastest way to convert a deduction dispute into a penalty and credibility problem.
Concede the genuinely weak items early. If the meals category has no purpose notes, say so. Fighting an item you cannot win costs you standing on the six you can.
Watch the statute. Assessment is generally limited to three years from filing, extending to six if gross income was understated by more than 25%, and unlimited for fraud or an unfiled return. Agents sometimes ask you to sign Form 872 extending the period. That's a real decision with real trade-offs โ worth taking advice on rather than signing reflexively.
What "Audit-Ready" Actually Looks Like

- Receipts filed by Schedule C line, not by month. Every IDR item maps to a line, so a line-organised archive answers requests directly.
- A mileage log kept contemporaneously, with the four elements per trip, plus the year-start and year-end odometer readings Schedule C Part IV asks for.
- Business purpose captured at the moment of spend, not in April. Two words on the receipt โ "Reyes pitch" โ is the whole difference for a ยง274(d) meal.
- A separate business bank account, so the deposits analysis is short.
- An annual deposits reconciliation, done in January while you can still remember what a $4,800 transfer was.
- The prior three years retrievable in an afternoon, because that's the ordinary assessment window.
The freelancers who come through examinations well are almost never the ones with fewer deductions. They're the ones who can produce, on request, what they already had.

How long do I have to respond to an IDR?
The response date is printed on the form and is usually around 30 days from issuance. It is a working deadline, not a statutory one โ agents routinely grant extensions when you ask in writing before the date passes and explain what you're gathering and when it will arrive. What damages a case is silence. An unanswered IDR is typically followed by a second one, then by a summons, and meanwhile the agent begins building proposed adjustments from the information they do have, which is by definition the information least favourable to you.
What records win a Schedule C audit?
Contemporaneous ones, organised by category and tied to the return. The categories that decide most Schedule C examinations are the ones governed by IRC ยง274(d) โ travel, meals, gifts, and listed property including vehicles โ because the Cohan rule's reasonable-estimate backstop does not apply to them. For those, no receipt and no log means no deduction, with no estimation available. For ordinary expenses, a bank or card statement plus a contemporaneous note of business purpose usually carries the day. The practical winner is an indexed set of copies that matches the IDR item by item.
